RESERVATIONS PROCEDURE

Provisional booking

Contact us first via email to make a provisional booking, which we will hold for an agreed period providing us with as much information as possible about your intended business company trip or personal travel arrangements including any airport transfers and hotels bookings.

Include the following:

How many people you want to move or are travelling

Pick up times and location postcodes including vehicle waiting time

Your reservation:

It is important that you receive a booking confirmation at this stage via email or fax from us, and that you have satisfied yourself to the price agreed, vehicle type requested and payment terms.

Our Confirmation:

We will send you a confirmation booking itinerary prior to your travel dates.

Our promises to you

  • We aim to be fair, reasonable and sympathetic in all our dealings with customers, and to act always with integrity.
  • We will meet all our legal and regulatory responsibilities, often going beyond the minimum obligations.
  • We aim to provide full and accurate information about our prices and travel service arrangements and changes will be communicated promptly.
  • Our overriding aim is to ensure that every customer is satisfied with our travel services.

All we ask of you

  • We ask that you read the confirmation booking itinerary we send you, and satisfy yourself to the travel arrangements as specified.
  • If you have any queries or want to make changes to your travel arrangements even at a later date then simply email us your changes or special requests.

TERMS AND CONDITIONS

Payment and Deposits

  • Payment required by BACS or cheque with bank guarantee card
  • Payment terms strictly 7 days prior to departure.
  • Reservations may be subject to waiting time and car park charges as discussed during your quotation.

Cancellation and Refund Policy

  • If a booking is cancelled by the Customer within 48 hours from the start of the period of hire, 50% of all monies paid will be non-refundable.
  • If a booking is cancelled by the Customer within 24 hours from the start of the period of hire, 100% of all monies paid will be non-refundable.
  • If the customer does not appear at the time and place designated as the pickup point, all monies paid will be non-refundable.

Terms and Conditions

  • KLM Travel request a minimum of 24 hours notice for any online bookings.
  • If you would like to book a car with less than 24 hours notice - Please call our out of hours Help Line: 07796 - 263309
  • Whilst we do our utmost to ensure our drivers are punctual we cannot accept responsibility for delays caused by circumstances out with our control.
  • The driver will drive at safe and sensible speeds in accordance with road conditions, traffic and the legal speed limits.
  • Clients are responsible for any damage they cause to the interior and or exterior of a vehicle on hire to them and will be billed accordingly for any repair or valeting required in order to reinstate a vehicle to working order.
  • We may provide subcontracted vehicles occasionally.
  • By supplying your email address you permit KLM Travel to contact you via email, in return we promise never to supply your email to any third party.
  • If there are any changes or variations including extra mileage to the journeys other than what was agreed at the time of booking, these items will be itemized on our invoice.
  • We reserve the right to change your vehicle or chauffeur at any time if necessary.
  • Every effort will be made by KLM Travel to ensure that our vehicle(s) or Sub-Contractors vehicle(s) arrive on time.
  • Our Chauffeur(s) will travel by the most appropriate route on the day, unless instructed otherwise by the Customer at the time of booking.
  • KLM Travel vehicle(s) and sub-contracted vehicles are fully insured for passenger and third party claims. However, customer's properties are carried entirely at their own risk and we shall not be held responsible/liable for any loss/damage to such property.
  • KLM Travel will keep a lost property book at their office, and will endeavour to return any lost goods left in our vehicle(s) or subcontracted vehicle(s) to the customer.
  • KLM Travel and its chauffeurs have the right to refuse to carry any passenger who is thought to be under the influence of alcohol or drugs and whose behaviour poses a threat either to the Chauffeur, the vehicle or any other passenger(s).
  • KLM Travel maintains a strict non-smoking policy in all its vehicles.
  • These terms and conditions do not affect the Client's' statutory rights.
